HOW A BUSINESS LETTER CAN BE.......

Which in a business letter is the date only, as the address is in the letterhead.

b. THE INSIDE ADDRESS:-
Which is the name and address of the person to whom the letter is written

c. THE SALUTATION:-
Which is the complimentary greeting.

d. THE BODY OF THE LETTER:-
Which is the subject matter of message

e. THE CLOSE:-
Which is the complimentary conclusion or “good-by”

f. THE SIGNATURE:-
Which may include the official capacity in which the letter is written..

7. HOW TO PREJUDGE THE EFFECTIVENESS OF YOUR LETTER

1. Does your letter look neat? Is it faultlessly typed? Well spaced and balanced. Free of noticeable erasnres or errors..
2. Does it look easy to read? It is concise, with short sentences and paragraphs?
3. Is the opening paragraph pertinent and interesting…does it refrain from “acknowledging” and “Advertising”.. thus inviting further reading of the letter?
4. Is the letter clear and forceful, not involved or cluttered up with meaningless, stereotyped words and phrases?
5. Does it sound natural.. Not stilted, officious or affected?
6. Have you kept you reader’s point of view ..His desires, needs and requirements, well in mind? Approached him from his side of the fence not yours?
7. Have you told your reader what he wants to know? Have you answered fully and completely all his questions, asked or implied?
8. Have you avoided saying anything that might be misconstrued?
9. Does your letter sound sincere? Does it sound as though you are really trying to be helpful and considerate of your reader’s wishes, feelings and needs?
10. Have you said what you should say specifically, and to the point?
11. Does each sentences and paragraph follow in natural sequence so your letter reads easily –doesn’t ramble?
12. Have you made it has easy as possible for your reader to follow your bidding … are you sure you haven’t asked him to do the impractical or unpleasant?

These are the points by which your reader will consciously or subconsciously accept or reject your message, if you can answer “yes” to these questions when checking each letter you have written, you may be sure you have done a good job.
